How to report a concern and how MartialArts4U protects children and adults at risk.

Our commitment

Haxby Martial Arts Ltd, trading as MartialArts4U, is committed to providing a safe, positive and inclusive environment for children, young people and adults at risk. Safeguarding is everyone's responsibility. All concerns are taken seriously, recorded appropriately and referred to the relevant authority when necessary.

How to report a concern

Tell our Safeguarding Officer or any member of staff as soon as possible. You do not need proof, and you should not investigate the matter yourself. Explain what you saw, heard or were told, using the person's own words where possible. Staff must pass concerns to the Safeguarding Officer without delay.

Do not promise secrecy. Explain that information will only be shared with people who need it to help keep someone safe.

If someone tells you they are being harmed

  • Listen calmly and take them seriously.
  • Reassure them that they have done the right thing by speaking up.
  • Do not ask leading questions or confront the person involved.
  • Write down the facts promptly, including the date, time and exact words used.
  • Report the concern immediately through the routes on this page.

What we do

We maintain safer recruitment and vetting arrangements appropriate to each role, safeguarding training, staff conduct expectations, supervision and reporting procedures. We manage concerns about staff or volunteers separately and refer allegations to the appropriate statutory body where required. We also consider online safety, photography and video, transport, changing areas, one-to-one contact and appropriate physical contact.

Confidentiality and records

Safeguarding information is kept securely and shared on a need-to-know basis. Protecting a child or adult at risk takes priority over normal confidentiality. Records are handled in line with our Privacy Policy and applicable safeguarding guidance.

Contact the council for the area where the child or adult lives. Outside normal hours, use the relevant emergency duty number.
